WorldShare Circulation release notes, October 2017

This release of WorldShare Management Services provides several new features in addition to numerous bug fixes. The new features are the direct result of user feedback.

Recommended actions

For this release, we recommend that you review the following checklists and complete the relevant tasks so that you can adjust your policies and workflows and train your staff. These checklists identify updates that we have determined to be significant for most institutions. We encourage you to review all the items in the release notes to determine whether there are other items that might require additional action or follow up by your institution.

Administrative actions

These items require immediate action or decisions.

Determine if your library wants to customize the data labels for printed receipts. If so, review and update the Custom Receipt Labels page in Service Configuration.
Determine if your library's hold receipts would benefit from including non-patron data in the title section. If so, update the HOLD receipt in Service Configuration.
In Service Configuration, verify if your loan policies are properly configured to include or exclude periods when your library is closed. If your library excludes closed periods, also verify that you have accurately described your library's Open Hours in the WorldCat Registry.

New features

Customize labels on printed receipts

You can now customize the text of the data labels displayed in circulation receipts. This is an optional configuration that controls the display of label text fro all printed receipts. You may customize all, some, or none of the labels.

To take advantage of this option in Service configuration:

  1. Navigate to Circulation Receipts.
  2. In the upper right corner, select the Custom Receipt Labels link.
  3. Review the default label text and enter customized text, if desired. Labels are grouped into three categories: Item, Patron, and Other.
  4. Save your changes.

 Note: To revert a customized label back to the default text, clear the Custom Label field and save.



When reviewing receipt templates, the customized label text will display first followed by the default text in parentheses:

Additional data available for hold receipt title

Your library can now choose to display data elements such as call number, hold expiration date, and pickup location in the title of the hold receipt. Previously, the 'Show in receipt title' option was only available for patron data.

To change the receipt title, go to Service Configuration > Circulation Receipts > HOLD. After selecting a data element for display, also select 'Show in receipt title' to add the data to the receipt title:

Improved Pull List

The column order of the Pull List has been optimized for viewing and printing. For example, Shelf Location and Call Number are displayed together. Bold text indicates that a column displays by default:

  • Select for Printing/Forwarding
  • Request Type
  • Shelf Location
  • Call Number
  • Format
  • Title
  • Barcode
  • Enumeration
  • Chronology
  • Description
  • Patron Notes (previously labeled 'Free Text')
  • Patron Name
  • Borrower Category
  • Pickup Location

  • Schedule Start Date
  • Schedule End Date
  • Last Printed

Proxy displays on Item Statistics Page

The primary patron's name now displays on the Item Statistics view if its proxy patron is associated with the item's current status and/or with the item's last issuance.


Grace period considers library closures

You can now configure Loan Policies to exclude periods when your library is closed (e.g., weekends, holidays, breaks, etc.) when determining the Overdue Grace Period and Recall Grace Period.

This improvement is controlled by the existing Loan Policy setting, 'Accrue bills When Closed?'

  • If set to No, then the grace period will no longer include time your library is closed.
  • If set to Yes, then grace periods will include time your library is closed.

 Note: Your library can configure closures in Service Configuration > WorldCat Registry > Open Hours.

Close All Tabs feature added to Discover Items

Save time by using the 'Close All Tabs' option to close all of your open searches.


SIP2 support for overdue bill messages

When a patron checks in an item or renews all via a SIP2 client, WMS's response will now include a message about assessed bills. The screen message (AF) will include the total charges with currency code, e.g., "This item has incurred charges of USD2.50."

Note to libraries using overdue and renewal fees: If an item is already overdue when it is renewed, the fee amount may not be complete in WMS's SIP2 response. Patrons should check their accounts for complete fee details.

Improved experience for Check In & Checkout

To help speed up your work, the cursor focus now returns to the Barcode entry field automatically after:

  • Due Before Date is changed at Checkout
  • Check In Mode is changed
  • Receipt is printed at Check In

Bug fixes

Unable to connect from a SIP2 client after updating SIP2 IP Address

If the SIP2 Address page in Service Configuration was updated after the July 2017 release with no username information, the configuration was saved incorrectly and Circulation could no longer connect to the SIP2 client. As of this release, the connection no longer requires a username/password to be configured.

Double check in results in double bill

Checking in an item twice in quick succession will no longer result in a bill being assessed twice.

New items in unavailable locations display as Available

You no longer need to check in a newly created item to change its status from Available to Unavailable when the item's Location Policy is configured to display items as Unavailable. The item will be displayed as Unavailable ('Not Available' in WorldCat Local and Discovery) as soon as it is created.

 Note: If you change the Available/Unavailable setting in a Location Policy, the status of the items will not be automatically updated. You will need to check in the items to change their status.

Student workers challenged when waiving bills

Users with the STUDENT_WORKER_CIRCULATION role are no longer asked for override credentials when waiving bills. Prior to this release, users with this role could waive one bill but were challenged for credentials when attempting to waive subsequent bills.

No new issues were introduced in this release.
